Description:
The Associate Director, Meetings & Events is responsible for the strategic planning, contracting, execution, and continuous improvement of Atlas Network's Regional Liberty Forums (RLFs), Liberty Forum and Freedom Dinner (LFFD), and other organizational meetings and events. This position oversees all aspects of event management, including venue sourcing, contract negotiation, budgeting, logistics, vendor management, attendee experience, and post-event evaluation.
In addition to leading the successful delivery of key events, the Associate Director is expected to contribute to the strategic development and evolution of Atlas Network’s global events portfolio, helping to identify opportunities for innovation, growth, and enhanced impact. As a key member of the Meetings & Events team’s leadership bench, this role will collaborate closely with department and organizational leaders on long-term event strategy and operational excellence. The position offers opportunities to assume increasing leadership responsibilities over time, including ownership of major initiatives, mentorship of team members, and expanded influence on the direction of Atlas Network’s global convenings.
As part of the Global Meetings & Events team, you will help plan and execute Atlas Network's domestic and international events, including Liberty Forums across Latin America, Europe, Africa, Asia, and North America. This role offers a unique opportunity to build expertise managing complex international conferences and engaging with freedom champions from more than 100 countries.
Core Responsibilities
Event Strategy, Planning & Execution
Lead the planning, production, and execution of Regional Liberty Forums, Liberty Forum & Freedom Dinner, and other assigned meetings and events.
Develop and manage detailed project plans, timelines, and event logistics to ensure successful event delivery.
Coordinate all on-site operations, including meeting room setup, food & beverage, event production, transportation, audiovisual requirements, translation services, entertainment, and attendee experience.
Oversee event setup and breakdown while ensuring adherence to organizational standards and event objectives.
Venue Selection & Contract Management
Lead the Request for Proposal (RFP) process for assigned meetings and events.
Research, evaluate, and recommend venues that align with event goals, budgets, and attendee needs.
Negotiate hotel, venue, audiovisual, transportation, and vendor contracts to maximize value and minimize organizational risk.
Manage relationships with venues and vendors throughout the event lifecycle.
Vendor & Production Management
Direct and coordinate vendors, including hotels, audiovisual providers, transportation companies, entertainment providers, translators, exhibitors, and other event partners.
Request and evaluate vendor proposals and pricing.
Collaborate with audiovisual providers and the Marketing team to manage event branding, printed materials, digital assets, stage design, and production elements.
Ensure all event orders and production requirements are communicated accurately and executed effectively.
Financial Management
Develop detailed event budgets and forecasting models for assigned meetings.
Monitor budget performance and identify opportunities for cost savings and operational efficiencies.
Manage invoice processing, financial tracking, and final bill reconciliation.
Participate in budget reviews and provide financial reporting as required.
Stakeholder & Cross-Functional Collaboration
Partner with internal departments, including Marketing, Development, Finance, and Institute Relations, to coordinate event communications and attendee engagement.
Provide event information and logistical details to support fundraising proposals and organizational initiatives.
Serve as a primary point of contact for event-related inquiries and stakeholder communications.
Support international attendees and partners while maintaining exceptional customer service standards.
Process Improvement & Administration
Drive consistency and continuous improvement in event planning processes, templates, and operational procedures.
Maintain event documentation, reporting, and best practices.
Conduct post-event evaluations and prepare recommendations for future improvements.
Serve as backup support for event registration and event-support systems, including Cvent-related inquiries.
Leadership Needs
Serve as a strategic thought partner to the Director of Meetings & Events on event planning and operational improvements.
Develop and document institutional knowledge, processes, and best practices.
Assume increasing leadership responsibilities and represent the department in cross-functional initiatives.
Required Qualifications
Bachelor's degree in Event Management, Hospitality Management, Business Administration, or a related field, or equivalent professional experience.
8+ years of progressively responsible event planning and meeting management experience, with demonstrated success managing complex conferences, meetings, or international events.
Demonstrated experience planning and executing complex meetings, conferences, and international events.
Experience managing venue sourcing, contract negotiations, budgeting, and vendor relationships.
Experience with Cvent or comparable event management and registration platforms.
Advanced proficiency with Microsoft 365 Suite (Word, Excel, Outlook, PowerPoint).
Strong working knowledge of Google Workspace (Gmail, Drive, Docs, Sheets, Calendar, Meet, Chat, Slides, Forms).
Excellent project management, organizational, and time management skills.
Strong financial acumen and budget management experience.
Exceptional written and verbal communication skills.
Ability to manage multiple projects simultaneously while maintaining attention to detail.
Ability to exercise sound judgment, discretion, and professionalism.
Ability to work independently and collaboratively in a fast-paced environment.
Must be legally authorized to work in the United States without sponsorship now or in the future.
Preferred Qualifications
Familiarity with principles of liberty, free-market economics, or related fields.
Experience working with international stakeholders and multicultural environments.
Proficiency in Spanish or another foreign language (written and spoken).
Professional event management certification (CMP, DES, or equivalent) preferred.
Travel Requirements
Domestic and international travel required (minimum 5 trips annually).
Typical trips range from 4–7 days.
Must possess or be able to obtain a valid passport.
Location: Preference will be given for candidates that live within the DC Metro area. We will not be considering international applicants.
