Atlas Network Event Terms & Conditions

Your attendance at any Atlas Network event, including virtual events, indicates your agreement to the following terms and conditions. All event attendees must register in advance of admission. A valid photo ID may be requested for registration and entry.

Decorum

This event is held for the benefit of our think tank partners within the global policy community. Individuals who attempt to attend without proper registration may be removed.

Atlas Network reserves the right, at its sole discretion, to remove from the premises, or restrict virtual participation for, any person, regardless of registration status, who in our judgment disrupts, inhibits, or undermines the quality of the event or the experience of other participants. This policy also applies to individuals responsible for bringing guests to the event.

“Premises” shall be defined by Atlas Network in consultation with venue management and, where applicable, local authorities.

Additional conditions of attendee conduct may apply in accordance with venue policies and local laws. Any person who is removed may be subject to further action by venue security or local authorities, where applicable.

Nothing in this policy is intended to infringe upon lawful speech or conduct on public property.

By registering for or attending this event, you agree that Atlas Network, along with its partners, contractors, and vendors, assumes no liability for injury, damage, or loss arising from or related to travel to, attendance at, or departure from the event, or the implementation of these policies.

Health and Safety

Atlas Network is committed to providing a safe and comfortable environment for all participants.

Attendees are encouraged not to participate in person if they are experiencing symptoms of a contagious illness or have been advised to limit contact with others. Participants are expected to follow any health and safety guidelines communicated by Atlas Network, the venue, or local authorities.

By attending, participants acknowledge that in-person events involve inherent health considerations and agree to take personal responsibility for their well-being.

Assumption of Risk and Liability

Participation in Atlas Network events and trainings involves inherent risks, including but not limited to risks associated with travel, interaction with other individuals, and exposure to illness or injury.

Atlas Network has implemented reasonable measures to support a safe event environment; however, Atlas Network cannot guarantee that participants will not be exposed to risks including illness, injury, or other unforeseen circumstances.

By registering for or attending an Atlas Network event or training, I acknowledge the inherent risks associated with participation and voluntarily assume all such risks, including the risk of personal injury, illness, permanent disability, death, damage, loss, or expense that may result from my participation. I understand that such risks may arise from the actions, omissions, or negligence of myself and others, including, but not limited to, Atlas Network employees, volunteers, service providers, and other participants.

I voluntarily agree to assume all of the foregoing risks and accept sole responsibility for any injury to myself, including but not limited to personal injury, disability, and death, illness, damage, loss, claim, liability, or expense of any kind that I may experience or incur in connection with my travel to, attendance at, or participation in Atlas Network events, trainings, or programming.

In consideration of being permitted to participate in the event, I, being 18 years of age or older, on behalf of myself, my heirs, assigns, personal representatives, and next of kin, hereby forever RELEASE, WAIVE, DISCHARGE, COVENANT NOT TO SUE, AND HOLD HARMLESS Atlas Network, its past, current, and future employees, officers, directors, volunteers, agents, representatives, successors, and assigns from any and all claims, liabilities, actions, damages, costs, or expenses of any kind arising out of or relating thereto, whether incurred directly or indirectly, now or in the future, in any way related to my attendance at, participation in, or travel to or from the event.

I understand and agree that this release includes any claims based on the actions, omissions, or negligence of Atlas Network, its employees, agents, and representatives, whether such claims arise before, during, or after participation in any Atlas Network program.

I expressly agree that this Agreement is intended to be as broad and inclusive as permitted by applicable law, and that if any portion is found to be invalid, illegal, void, or unenforceable, the remaining provisions shall continue in full force and effect and shall be interpreted to best reflect the original intent.

This Agreement may be executed electronically. By registering for or attending the event, I acknowledge that I have read and understood these terms, that they are contractual in nature and not a mere recital, and that I have voluntarily agreed to them in consideration of the opportunity to participate in the event.

Travel and Visa Support

Participants are responsible for securing their own travel documents, including passports and visas, where required.

Atlas Network may provide supporting documentation, such as invitation letters, to assist with visa applications. However, Atlas Network cannot guarantee visa approval and is not responsible for decisions made by embassies, consulates, or other authorities.

Attendees are encouraged to begin visa processes well in advance and to comply with all applicable requirements.

Event Changes and Cancellation

Atlas Network reserves the right to modify, postpone, or cancel any event, in whole or in part, due to circumstances beyond its control or for any reason deemed necessary, including but not limited to acts of God, natural disasters, war, terrorism, labor disputes, government actions, public health emergencies, or transportation disruptions. In the event of any such changes, Atlas Network will make reasonable efforts to notify registered participants in a timely manner.

Atlas Network shall not be liable for any costs, expenses, or losses incurred by participants as a result of such changes, including but not limited to travel, accommodation, or other related expenses. Participants are responsible for making their own travel and accommodation arrangements with appropriate flexibility in the event of changes. Refunds, transfer eligibility, and other participation terms may be governed by event-specific policies communicated at the time of registration.

Accessibility and Accommodations

Atlas Network strives to make its events accessible and inclusive.

Unless explicitly stated, Atlas Network is not responsible for arranging or covering accommodation. Participants who are part of an invited cohort may have their accommodation arranged and covered by Atlas Network, as specified in their invitation.

For participants who are not part of an invited cohort, Atlas Network may assist with arranging hotel accommodations upon request after registration; however, availability is not guaranteed and remains subject to the hotel’s capacity and policies.

Any hotel bookings, whether arranged directly by participants or facilitated by Atlas Network, are subject to the terms and conditions of the hotel. Atlas Network shall not be liable for lodging-related issues, including but not limited to cancellations, overbooking, or service disputes. All incidental expenses incurred during a participant’s stay are the sole responsibility of the participant.

Emails and Onsite Photography

By registering for and attending Atlas Network events, you consent to interviews, photography, audio recording, and video recording, as well as their use and publication.

Images, video, and audio recordings may be used to promote this and future Atlas Network events and to highlight the work and impact of Atlas Network partners and the broader network.

By registering, you also consent to receive important event updates and reminders via email.

Recording

Unauthorized audio or video recording, image capture, or any form of transcription or transmission of event content is prohibited. This includes, but is not limited to, presentations, materials shared during sessions, and attendee contributions captured without consent.

Atlas Network reserves the right, at its sole discretion, to authorize select recording or photography. Any authorized recordings or images may only be used with Atlas Network’s written consent.

Atlas Network may remove any individual engaging in unauthorized recording or photography and reserves the right to pursue available legal remedies.

Packages

All packages, bags, and other containers may be subject to inspection and may be required to be stored during the event.

Data Privacy

Atlas Network is committed to protecting your personal information. Personal data collected in connection with event registration and participation will be handled in accordance with Atlas Network’s Privacy Policy.

By registering for an event, you acknowledge that your information may be shared with trusted service providers and vendors as necessary for event planning, administration, and execution.

Participants are responsible for ensuring that any personal data they provide is accurate and up to date.

Code of Conduct at Atlas Network Events

All individuals attending, supporting, or present at Atlas Network events are expected to treat others with respect and dignity, regardless of professional role, background, or identity.

These events are designed to strengthen professional relationships among a diverse group of peers representing many cultural perspectives. Behavior that undermines a respectful and constructive environment is discouraged.

Participants are expected to exercise good judgment, including with respect to alcohol consumption, and to conduct themselves in a professional manner at all times.

Atlas Network staff may, at their discretion, address concerns directly with attendees to reinforce these participation guidelines.

Atlas Network reserves the right to de-register or remove any attendee at any time to help ensure a safe and positive experience for all participants.

Alcohol & Liability Clarification

Attendees are responsible for their own conduct and consumption of alcohol. Atlas Network is not liable for any consequences resulting from excessive consumption or related behavior.

Personal Property Disclaimer

Attendees are solely responsible for their personal belongings. Atlas Network is not liable for lost, stolen, or damaged property.

Badge Usage / Event Credentials

Event badges are non-transferable and must be worn at all times within event premises.
